Data Retention & Access Policy

How long we keep your data and how you can access it

Retention Periods

User Account Data

Retained for the duration of account activity plus 6 years after account closure, in line with legal and regulatory requirements.

Housing Applications

Retained for 3 years after the application is resolved, unless required longer for legal proceedings.

Financial & Payment Records

Retained for 7 years from the date of transaction in accordance with HMRC requirements.

Emergency Housing Records

Retained for 6 years after the case is closed.

Marketing & Communications

Retained until consent is withdrawn. Unsubscribe records are kept indefinitely to honour opt-out requests.

Subject Access Requests

You have the right to request a copy of all personal data we hold about you. This is known as a Subject Access Request (SAR).

  • • Submit your request to management info@veridianvillage.co.uk or call 0121 647 5347

  • • We will respond within one calendar month

  • • We may ask for proof of identity before releasing data

  • • There is no charge for a standard SAR

Data Disposal

When data reaches the end of its retention period, it will be securely disposed of:
 

  • • Electronic data is permanently deleted from all systems and backups

  • • Paper records are securely shredded

  • • Third-party processors are instructed to delete data accordingly
